Event Cancellation Policy for Organizers

1. Purpose

This policy provides clear guidelines for event organizers who need to cancel an event. It ensures fairness to ticket buyers, compliance with industry norms, and protection of the OnlyFriends brand and community.

2. Organizer Obligations Upon Cancellation

a. Minimum Notice Period

Organizers are required to inform OnlyFriends and all ticket holders at least 7 calendar days before the event date. Late cancellations (less than 7 days) must include a written explanation and valid reason (e.g., safety concerns, force majeure, or venue problems).

b. Cancellation Submission

Cancellation requests must be submitted in writing to support@onlyfriendsent.com, including:

  • The reason for cancellation
  • Whether the event will be rescheduled
  • Suggested future date (if applicable)

3. Refunds & Financial Terms

a. Ticket Refunds

OnlyFriends will refund 100% of the ticket price, excluding non-refundable platform service fees. Refunds are processed within 7–10 business days after cancellation is confirmed.

b. Organizer Liability

Organizers may be held financially responsible for attendee losses caused by late or avoidable cancellations. Repeat or unprofessional conduct may lead to penalties or removal from the platform.

4. Rescheduled Events

If the event is postponed:

  • Organizers must notify attendees within 14 days with the new date.
  • Attendees can:
    • Retain their tickets, or
    • Request a refund of the ticket price only (service fees remain non-refundable)

⚠️ Tickets are automatically valid for the new date unless a refund is requested within 7 days of the reschedule notice.

5. Repeat Cancellations

Organizers with more than two cancellations within 6 months will be flagged for review and may face:

  • Temporary hosting suspension
  • Event listing limitations
  • Loss of access to premium or featured event tools

6. Attendee Notification Requirements

Organizers must communicate cancellations using all three channels:

  • Email (automated via platform)
  • SMS (if enabled for event)
  • Update on the Event Page

Each message must clearly state:

  • Reason for cancellation
  • Refund or new date details
  • Contact for queries

7. Force Majeure Events

In cases where cancellation is due to:

  • Natural disasters
  • Political unrest
  • Government restrictions (e.g., lockdowns)
  • Power or utility failures

OnlyFriends will assess each case individually. Organizers are expected to communicate clearly and promptly even under such circumstances.
